All coaches and volunteer staff are expected to register each season with KMS prior to any field activities. There is no cost associated with this registration. Refer to applicable District League to determine the maximum number and required qualification level of staff on the field. Each competitive team must have a Head Coach, Assistant Coach and General Manager. A minimum of one fully qualified coach must be present at every game.
Suggested roles and responsibilities for each position are below:
a. Head Coach
- Organize player try-outs and select team staff.
- Develop a season plan (including training schedules).
- Ensure fair treatment of all players.
- Regularly communicate with parents
- Attends and provides exceptional coaching at all training sessions and games
- Act as the first point of contact with parents with concerns
- Follows and enforces the KMS Zero Tolerance Policy (for all players, parents and coaching staff)
- Follows the KMS Incident Reporting Policy
- Abides by the KMS Code of Conduct(s)
- Attends League seasonal kick-off meetings
- Attends KMS meetings as required
- Responsible for staff qualifications being current and age appropriate
b. Team Manager
- Handles administrative tasks (e.g., uniform orders, sponsorship).
- Ensures players register with KMS and manage staff & player cards/digital IDs.
- Organize team travel and tournament or festival applications.
- Collects pertinent medical information and emergency contact information for each player (see Player Medical Information template)
- Manage team schedule including changes, rescheduling, etc.
- Organizes travel arrangement including Application to Travel (ATF) form submissions for KMS & EMSA approval via Ontario Soccer’s Competition and Travel Management System (CTMS) for away exhibition games, tournaments or festivals.
- Organizes and submits Application to Host Exhibition Games (AHEG) in CTMS for any opponent team not active in KMS or the League & division registered to play in.
- Verifies field availability with KMS for practices, regular season games or home exhibition games
- Ensures that any injury or incident is documented, follows Club policies
- Follows and enforces the KMS Zero Tolerance Policy
- Follows the KMS Incident Reporting Policy
- Abides by the KMS Code of Conduct
- Serves as the liaison between the team and KMS, Team representative *These duties can be shared with other bench staff
c. Kincardine & District Minor Soccer (KDMSC)
- Provide player & staff registration and process player & staff via Ontario Soccer processes to complete the required player registration processes within EMSA/OSA for the player to be eligible to practice and play games.
- Offer field & time for practices and games based on availability with other KMS teams.
- Liaison between the Teams in assigned League and the KMS Competitive Director
- Pay league fees and manage league bonds
- Submit play out forms for EMSA approval, once approved submit play in forms to South West District for approval, to be completed by the end of December.
- Receive invoices for fines, pay fines using team bonds and collect reimbursements from the team when required.
- Document coaching qualification records
d. Parents and Volunteers
- * Managers and Helpers are not required to take stage-appropriate trainings. Refer to the KMS website for the Qualification Matrix for Managers and on-field Practice helpers.
- Parent helpers are required to complete the following:
- Vulnerable Sector Check VSC
- Coaching soccer in Canada
- Respect in Sports for Activity Leaders
Qualifications
All Staff
- obtain an NCCP# by registering at coach.ca
- use the NCCP# at any and all training website profiles to have qualifications sync back to The Locker at coach.ca
- inform KMS when all required qualifications are met and visible in The Locker, so that you are eligible to be rostered
Coach and Assistant Coach courses/paperwork required for all coaching staff in accordance with Canada Soccer are (subject to change by Canada Soccer or Ontario Soccer):

Courses must be completed well in advance of the season start to avoid issues when rostering staff and requesting approval from the district. Courses will be reimbursed by KMS through the reimbursement process.
