Fees

Each team will be responsible for setting their team fees (player registration fees) to ensure all season costs for the team will be covered. Fees should factor in the following expenses:

  •       Referees fees (leagues will post the current season’s referee fees (per game) by February)
  •       Uniforms
  •       Equipment (as outlined in section 10 Equipment)
  •       OSA Player Fees (seasonal insurance)
  •       Administrative fees (Play Out fees, Approved Rosters, etc.)
  •       Club Fees (field maintenance, etc.)
  •       League Registration Fee
  •       Team bond

Team fees should be set in such a way that there will be little to no excess funds available at the end of the season. KMS must be made aware of any surplus at the end of the season including what the team plans to use the excess funds for.

Competitive soccer teams are required to manage their own funds. The budget process (outlined below) will ensure that all teams are being transparent and accountable with their teams finances.

Budget Preparation:

The team budget template must be completed in full and presented to the KMS Executive according to the dates above. The draft budget should reflect the majority of the teams expenses with only minor changes being reflected in the final budget (after the District’s League coaches meeting). KMS will review and approve/deny or request amendments to the budget. The budget should be practical and realistic. Each team should aim for similar player registration fees. 

Upon approval of the final budget, the General Manager can collect player registration fees from all players. 

KMS will send each team an invoice for the season’s expenses once the final budget is received. Teams must pay the invoice prior to the start of the season. The invoice will include the following costs:

  •       Team bond
  •       Club fees
  •       Administrative fees
  •       Regular season Referee fees
  •       Player fees (EMSA and OSA fees)
  • The invoice must be paid before KMS will approve the team roster and submit it to EMSA for approval. 

At the end of the season, the Coaching staff will attend a meeting with the KMS Executive to review the season budget. The General Manager should come prepared with an updated budget including the plan for any surplus funds. KMS will review the Team bond and determine if the Team has a surplus or if they owe additional funds. If additional funds are required, KMS will prepare an invoice and payment must be received within 30 days. If the team has a surplus they can choose to have it returned to the team or leave it with KMS to cover the Team bond the following year.

Team Bonds

Team bonds are collected to cover any unanticipated team costs throughout the season (ie. Fines). KMS will collect a $150 team bond from each team. When a team receives a fine, the league withdraws funds from the team’s bond to cover the fine or any additional fees incurred throughout the season. 

At the end of the season, any unused bonds will be returned to the team. If the Team owes KMS funds because their fines or unanticipated costs were higher than the $150 team bond, KMS will prepare an invoice at the end of the season that must be paid by the team within 30 days of receiving it. 

Sponsorship

Teams may request sponsorship from local businesses to reduce the player registration fees. Teams should not ask for more than is required to cover their season expenses. 

If a sponsor wants a charitable tax receipt, the funds must be held by KMS until the team is ready to use them. Sponsor recognition activities should be approved by KMS. 

Accountability

If a team is accused of mis-managing funds they will be required to attend a KMS meeting with efficient documentation to support all expenses. If the team is found to have not acted appropriately with the team funds, the team will no longer be permitted to manage their accounts separately from KMS. Depending on the nature of the complaint, the bench staff may not be permitted to manage a team in the future.
