Club Google Account (Kincardine & District Minor Soccer)

PrintClub Google Account

The Club has several accounts under Google:
  • [email protected] 

    • an account setup to centralize emails, google docs, etc for the Club

  • various@kincardinesoccer.com

    • a Google Workspace account to have domain specific email addresses (never fully utilized)

  • [email protected] (controlled by a previous member of the Exec and control was never returned to the Club after they departed)

Access

  • It is not a distribution list that will send emails to all the personal email addresses of the exec
  • It is a shared email box for the exec to leverage and in many cases cc for awareness or documentation of sending from an exec's personal email address when it is related to Club business
  • google.com or gmail.com
  • Login: [email protected]
  • Authentication for new access
    • a notice will go to Mark (admin of the account) to allow access as we have Two Factor Authentication (2FA) enabled for security purposes
    • reach out to Mark after you request access up initial logging in

Account tools

  • Gmail
    • Purpose: Provide a single shared email account
    • Reason: Provides visibility for all Execs if/when needed.  Also the Club as over the years we lose access or info when execs use their personal email addresses or have limited access to prior shared email accounts, which we then lose history or access as people leave the exec.
    • Uses:  Use the club email address for a variety of Club related business such as:
      • Equipment online ordering (Avanti, Tim Hortons, Home Hardware, etc)
      • External Soccer Association profiles (EMSA, SWRSA, OSA, Canada Soccer)
      • External League contact (LSL, SWRSL, etc.)
      • Tools the Club uses (SportsEngine, GoDaddy, etc.)
      • anything where is makes sense for Exec visibility and or retention of information
    • Organization
      • Maintain a folder structure for filing
        • Club business with sub-folders
        • Yearly folders for anything dealing with a specific season
        • etc
      • The inbox can be cleaned up by anyone by moving messages to the folder that makes the most sense for someone who may be searching later on to find something
      • As a practice, if you read a message and it isn't relevant to something in your role, please set it back to unread
  • Google Docs
    • Store files for Exec access (Referee schedules, Team roster creation files, etc.)
  • Google Drive
    • Storage of any documents for the execs to share (copies of Governance documents, etc.)
