Emergency Communication (Kincardine & District Minor Soccer)

PrintEmergency Communication

Overview

From time to time the Club may need to communicate quickly and with short notice to its members.  Below is an outline of how that happens.

Scenarios

  • A governing body or league cancels games
  • A local lightning weather event occurs

Audiences

  • Coaches
  • Referees
  • Players
  • Parents/Guardians
  • Executive

Decisions

  • Refer to the Club website FAQ section for Weather
  • Wait for Leagues that our teams play into to come to a decision
    • Ontario Soccer Association (OSA)
    • Lake Shore League (LSL)
    • Elgin Middlesex Soccer Association (EMSA)
    • Southwest Regional Soccer League (SWRSL)
  • Environment Canada and/or Weather Ontario public notices

Processes

Kincardine Minor Soccer

  • The Executive to communicate to determine final decision
    • House League Teams are under KMS control as it is our League (U4, U5, U5, U8, U10)
    • Lake Shore and Southwest will make  their decisions by 4pm
    • Ontario Soccer can sometime weigh in, but generally we don't see their notices.

communications

  • Single message crafted and delivered to all audiences
  • Via:
    • Club Facebook page post
    • Club website News article post
    • SportsEngine App Coach chats
      • coaches are expected to pass the message on to their teams as well
    • Club email via SportsHeadz
      • Season Registrations (Summer, Volunteers, Ripley)

Over-communication is best as we don't know where everyone will see the message and also depend somewhat on word of mouth to get the message out.
